Business Mileage and Expense Documentation

Research note · October 17, 2026

A practical recordkeeping approach for distinguishing business travel, personal spending, and expenses that need further review.

Start with the record

Capture each trip’s date, destination, business purpose, and mileage. Keep annual vehicle-mileage totals and supporting evidence. If several work apps are active during one trip, record the miles once.

For each expense, connect the date, amount, purpose, receipt, and relevant business activity. The register records what happened; eligibility and tax treatment are separate review steps.

Use the rate for the trip date

The IRS’s 2026 standard business mileage rates are 72.5 cents per mile for January 1–June 30 and 76 cents per mile for July 1–December 31. These rates apply when the standard-mileage method is available and selected.

Fictional example · Eligible business miles assumed
Trip dateBusiness milesRateMileage amount
March 10, 2026100$0.725$72.50
October 10, 2026100$0.76$76.00

These calculated amounts are deductions in the example, not reimbursements or dollar-for-dollar tax savings.

Keep the categories distinct

  • Standard mileage includes operating costs such as fuel, maintenance, insurance, and depreciation. Do not deduct those costs again for the same miles. Eligible business parking and tolls may be additional.
  • Ordinary commuting is generally personal. Home-office transportation exceptions require the applicable qualifying business use.
  • Eligible business meals are generally subject to a 50% limit. Ordinary personal meals during local work are not automatically business expenses.
  • Entertainment is generally nondeductible. A business conversation does not by itself make an entertainment ticket deductible.

How this informs the laboratory’s work

The developing recordkeeping system connects a mileage log with transaction records and receipt references. The next step is to test a small batch against source documents, review missing fields, and check for duplicate entries.

This note documents a learning process. Actual vehicle-method choices, travel eligibility, and expense treatment depend on the facts and current rules.
