Problem identified · Cloud solutions under research
Investigating a sustainable way to organize working files, free device space, and preserve recoverable copies across phone, computer, and cloud storage.
The problem
Storage constraints across devices and cloud services can interrupt everyday work. Moving files from one full location to another does not solve the underlying capacity, organization, and recovery problem.
This project begins with an inventory of capacity, usage, file types, and existing copies. No cleanup, migration, backup validation, or purchase has been completed as part of this research.
What are cloud solutions?
Cloud solutions use a provider’s remote computing and storage services through an internet connection. For this project, the focus is storage, file access, synchronization, and backup rather than running applications on cloud servers.
Storage: Keep files remotely and access them when needed.
Synchronization: Keep selected files and changes consistent across locations; deletions may also synchronize.
Backup: Preserve recoverable copies with a defined retention and restoration process.
Archive: Keep infrequently used material according to a retention plan; an archive still needs protection against loss.
More cloud capacity does not add physical capacity to a phone or computer. Device space is reduced only when the service and settings allow local copies to be optimized, streamed, or removed appropriately.

Option
Possible role
What to verify
Apple iCloud Photos / iCloud+
Photo-library access and local storage optimization
Photo volume, available cloud capacity, compatibility, and a separate copy of important originals
Google Drive / Google One
Cloud capacity and access to documents and media
Usage across Drive, Gmail, and Photos; existing plan and duplication
Microsoft OneDrive
Working-file access with Files On-Demand
Supported device setup, offline requirements, and whether a suitable subscription already exists
External storage plus an independent backup
A separate destination for important copies and archive material
Capacity, connection compatibility, verification, security, and restore procedure
Dedicated cloud-backup service
Recover files independently of the working sync location
Supported devices, retention, exclusions, encryption, and restoration costs
Provider details that affect the design
Apple’s Optimize Storage can keep smaller local photo versions while originals remain in iCloud. iCloud Photos also synchronizes deletion across devices; Apple recommends backup copies of the library.
Google account storage is shared across Drive, Gmail, and Photos, so the inventory must examine the account rather than Drive alone.
OneDrive Files On-Demand can keep files online-only. Deleting an online-only file deletes it from OneDrive too; removing a local download and deleting a file are different operations.
Research and implementation sequence
Inventory each location’s total capacity, free space, large categories, and existing subscriptions.
Identify the authoritative copy of each collection and review duplicates without deleting them.
Separate active work, reference material, archives, and records with retention requirements.
Compare compatibility, capacity, recurring cost, privacy, offline access, and recovery.
Copy a small sample to the proposed destination and verify that the files open correctly.
Test restoration from an independent copy before any cleanup of important originals.
Apply a documented cleanup or migration plan, then review usage and recovery regularly.
Measures and next action
Record capacity and free space by location, verified file counts and sizes where useful, sample-open results, restoration success, and time required to retrieve a file. Baselines and improvement results have not yet been collected.
Next: Gather the phone’s storage breakdown, identify the computer or external drive and its available space, and review the Google account storage breakdown. Compare plans only after the requirements are known.
Consulting application
The project develops an approach to information inventory, storage allocation, file lifecycle planning, and recoverability. A tested process could support future work helping others organize digital operations.
