Workflow Design

Initial workflow implemented
Workflow Design project image

What makes a repeating process easier to document, perform, and improve?

Input moves through process to output; review and refinement improve the process.
A working model for examining and improving repeatable tasks.

Objective

Choose one recurring task and describe a workflow that can be followed consistently.

Proposed method

Observe the task; record steps and handoffs; identify obstacles; trial a revised checklist.

The working sequence

  1. Capture the incoming record or request.
  2. Classify the information and identify any action.
  3. Write a clear next step.
  4. Record relevant details in the appropriate register.
  5. File the supporting material where it can be retrieved.
  6. Review unfinished actions and check completeness.

This sequence connects the email organization work with the developing recordkeeping routine. The broader routine still needs repeated use and measurement.

Evaluation

Completion time, missed steps, and the ability to repeat the process.

Planned outputs

A process map, checklist, and comparison of the original and revised workflow.

Progress

An email organization and task-capture workflow has been implemented as an initial example. Comparative performance measurements have not yet been recorded.

Next step

Test retrieval time and review filing errors in the digital organization workflow.
